Three kinds of membership, all handled
“Membership” means three different things depending on what you sell. They bill differently, and most software only gets one of them right.
Session packages
“10 sessions for the price of 8.” The customer pays once, and every visit draws one session down. The count is on the bill, so nobody has to remember it.
Prepaid balance
The customer puts money in and spends it over time, on anything you sell. Each bill deducts from the balance and shows what remains.
Discount membership
A tier that earns a standing discount — 15% off every visit, all year. It applies itself at billing rather than depending on whoever is at the counter.
Auto-applied member discounts
A membership only works if it is honoured at the exact moment of billing — and that is the moment when the shop is busiest and the person billing is newest.
So the plan is attached to the customer. Pick the customer, and their package count, balance and member rate are already on screen before anyone types a price.
Nothing depends on memory. New staff bill a member correctly on their first day.
Package tracking in a diary quietly costs you
Package leakage is invisible. It never shows up as a loss — it shows up as a month that felt busy but did not pay like it.
Sessions get given twice
A package written in a diary gets counted generously. Nobody is stealing — the record just is not in front of anyone at the moment of billing.
Prepaid balance is forgotten
Money taken upfront is easy to lose track of. When the customer asks what is left and you cannot answer instantly, the trust goes before the balance does.
Discounts applied by memory
Staff either forget the member rate or apply it to someone who is not a member. Both cost you, and only one gets noticed.
Disputes with no record
“Maine toh 10 ka package liya tha.” Without a running count there is no way to settle it, so you give in and eat the difference.

What is membership software?
Software that tracks what a customer has already paid for in advance and applies it automatically when they come in. That covers session packages, prepaid balance and standing discount tiers — so the person at the counter does not have to remember who bought what.
Does it work for a gym as well as a salon?
Yes. A gym mostly sells time-based memberships and a salon mostly sells session packages, but both are the same idea: paid in advance, drawn down over visits. Spas, clinics and studios use it the same way.
How does the discount get applied?
It is attached to the customer, not to the staff member's memory. When you start a bill for a member, the member rate is already applied and shown on screen, so the price is right whether you or a new staff member is billing.
Can a package expire?
Yes — you can set an expiry when you create the package, or leave it open-ended. Expiry is what stops a two-year-old package from being claimed at today's prices.
What happens to prepaid balance if the customer stops coming?
The balance stays on their account and stays visible in their history, so it is never quietly written off. You can send a WhatsApp reminder that they still have money with you — which is usually enough to bring them back in.
